The hard part is not storing a date
COI tracking breaks when an expiry date sits in one file, the vendor email sits in another, and nobody owns the renewal request. A workable process joins the date to a status, an owner, and a next action before the certificate expires.
Minimum fields for each COI
Vendor and the property, project, or operating group it supports
Recorded status and certificate expiry date
Internal owner responsible for renewal follow-up
Vendor contact path and the date of the last request
Next action, notes, and a link to the approved document location
A simple renewal cadence
Start early
Review certificates well before expiry so the request is not competing with an active job.
Send one clear request
List every missing or coming-due requirement in one vendor packet.
Record the handoff
Keep the owner and next follow-up visible instead of relying on an inbox memory.
Escalate by policy
Let your company policy decide whether work pauses; the tracker should not make that legal or risk decision.
