A useful spreadsheet should answer the next question
A vendor list is not enough once renewals start arriving. The tracker needs to show what is current, what is missing, what expires next, and who owns the follow-up. This template keeps those operating fields together and can later be imported into CertCue.
Columns included in the template
Vendor, trade, contact, and internal owner
COI, license, W-9, agreement, safety, and custom requirement fields
Current, expiring soon, expired, missing, and not-required statuses
Renewal or expiry dates where a requirement has one
Next action and operating notes for the follow-up owner
How to use it without creating another forgotten sheet
Name one owner
Every open requirement needs one person who can take the next action.
Review dates weekly
Sort the next-expiry column and handle the nearest renewals first.
Keep evidence separate
Use the tracker for workflow status; keep sensitive documents in an approved secure system.
Move when the sheet becomes work
When filters, reminders, and repeated request emails take too much time, import the same roster into a renewal queue.
